Connect DATEV data service

Connect interface

To be able to use the interface, it must be set up once. To do this, select “Automatic transfer to the DATEV data center” in the export settings in Spesenfuchs under Settings (gear wheel).

Enter your consultant and client number (for the client number, see this information) and click on “Query available services”. You must then identify yourself to DATEV with your login medium, e.g. Smart ID.

If you do not have a registration medium from DATEV, you can arrange for your tax advisor to receive an e-mail with information on the right-hand side of this page.

Even if you see the following information “There are no services available in DATEV for the client number (xxx) and consultant number (x). Your tax advisor must subscribe to a valid service for you at DATEV.”, you can either select ‘Reset’ and have your tax advisor informed by e-mail or you can check the most common errors.

Depending on which of the services have been activated for you, you may then see the option to change the service. To decide which service to use, please ask your tax advisor.

To establish a connection, click on connect. You must then grant authorization to DATEV again.

Once the connection has been successfully established, you have several setting options for the Buchungsdatenservice:

  • Posting text - select which posting text is transferred to DATEV for each posting.
  • Financial year - set when your financial year begins. This setting must match the setting in DATEV. If in doubt, please ask your tax consultant. If the setting is incorrect, the export will fail.
  • Posting batches - select how the posting batches should be put together, per export, per month or per issue.

Unfortunately, the DATEV API does not allow the settings to be automatically synchronized between DATEV and Spesenfuchs. You must therefore ensure that the following settings are the same in Spesenfuchs during setup:

  1. the financial year must be the same
  2. the chart of accounts must be the same. If you have an individual chart of accounts, the accounts used in Spesenfuchs must exist in DATEV.
  3. The vendors used in Spesenfuchs must exist in DATEV.
  4. The G/L account length must be the same (default is 4).

You have the following setting options for the Rechunungsdatenservice 1.0

  • (available soon)

Select Synchronize automatically if you want to automatically export the expenses that have the status released to DATEV every night. You then have no more work with the export and everything works automatically.

Once you have made the desired settings, click on “Check and save”.

The setup is now complete.

You will see a green tick at the top of the page to indicate successful setup.
