Scan receipts with the Spesenfuchs app

With the free Spesenfuchs app, you capture receipts with your smartphone or tablet and upload them to the Receipt inbox of your Spesenfuchs web application. There, the receipts are read and processed further.

Where can I get the app?

The app is called Spesenfuchs in the App Store and on Google Play (provider: Spesenfuchs GmbH) and is free of charge.

Which devices are supported?

  • Android version 7.0 or later
  • iPhone and iPad with iOS or iPadOS 15 or later
  • smartphones and tablets

On large tablets, the app shows two columns: the Receipt inbox on the left and the selected receipt on the right.

How do I log in?

You log in with your existing Spesenfuchs login, i.e. your email address and password. You cannot create an account in the app. If you don’t have an account yet, register first in the web application at https://app.spesenfuchs.de.

How do I scan a receipt?

  • After logging in, the app automatically opens the camera. The first time, it asks for permission to use the camera.
  • If you previously used another function, tap the Scan button (camera icon) at the bottom to reopen the camera.
  • Point the camera at the receipt. The camera detects the receipt and crops it.
  • The scan is created automatically or can be triggered manually.
  • If a receipt has several pages, scan all pages one after the other. They are uploaded as one PDF.

Scan features

During scanning, the following functions are available:

  • Flash: for better lighting in dark environments
  • Filter: improves the readability of the receipt
  • Shutter: manually trigger the photo

Tips for good scans

  • Make sure the receipt is fully visible in the image.
  • Use sufficient lighting.
  • Avoid shadows and reflections.
  • Place the receipt on a high-contrast background.

Can I share receipts from other apps?

Yes. Share photos and PDFs, for example from your photos, files, an email or your downloads, with the Spesenfuchs app using your device’s share function.

  • You can share up to 10 files at once. Each file becomes a separate receipt.
  • If you share more than 10 files, the app takes the first 10 and shows a notice.
  • Android: If you share photos and PDFs together, Spesenfuchs does not appear in the selection. In this case, share photos and PDFs separately.

What happens after uploading?

The receipts arrive in the Receipt inbox of the Spesenfuchs web application. There, they are read automatically (text recognition); e-invoices are taken over directly. Reading takes place in the Receipt inbox, not in the app.

If you have no internet connection, the receipts stay in the app and are uploaded automatically as soon as a connection is available again, including when you reopen the app.

What does the Receipt inbox in the app show?

The app shows the last 30 receipts of your Receipt inbox, including those you uploaded in the web application or via the API. Pull the list down to reload it. Shortly after uploading, a receipt’s tile may show Preview is being created.

What does “Not processed” mean?

If a receipt cannot be processed after uploading, for example a PDF with more than 15 pages, its tile shows Not processed together with the reason. Then choose Try again or Remove.

Can I edit receipts in the app?

No. When you tap a receipt, you see the original at the top and the recognized data below it, for example description or merchant, total amount, receipt type, payment method, date, currency and the VAT per rate. Depending on the receipt type, further fields are shown, for example arrival and departure, breakfast, Citytax and parking fees for a hotel, meal, drinks and tip for entertainment, or the recipient for gifts. Tap the original to open it in full size; you can zoom into images.

The data is only displayed in the app. Edit the receipt in the web application. You can also delete a receipt in the app.

How do I continue with the receipt?

You do the further processing in the Spesenfuchs web application under Expenses → Receipt inbox: complete the data, settle the receipt as an individual receipt or assign it to a trip, and submit it for approval. The status history is also only available in the web application. As soon as the receipt has been processed further, it disappears from the Receipt inbox and thus also from the app.

How do I protect the app with Face ID or fingerprint?

If you wish, you can unlock the app with Face ID, Touch ID or fingerprint, or with your device passcode. The app offers this once after you log in or after the update. You can switch the app lock on or off at any time in the settings.

  • The app locks when it starts and when it has been in the background for more than 5 minutes.
  • If unlocking does not work, choose Log in with email and password.

What can I find in the settings?

  • Design: light, dark or as on the device
  • App lock
  • Log out
  • Links to the help center, legal notice, terms and conditions and privacy policy
  • Licenses

Frequently asked questions

Why is my receipt blurry or not recognized?

Check the lighting conditions and the position of the receipt (see Tips for good scans). The data is read by the Receipt inbox of the web application; how well this works depends on the readability of the receipt.

Where can I find my scanned receipts?

In the Receipt inbox directly in the app or in the web application under Expenses → Receipt inbox.

Do I need to be online?

No, you can also scan without an internet connection. The receipts then stay in the app and are uploaded automatically as soon as a connection is available again.

In which language is the app displayed?

The language depends on the language of your account in the web application (German or English), not on the language of your device.
